Manage info about a person, add relationships and notes

Go to the People tab and select a person to view all their photos as a personal album and edit their profile.

Personal album

The photos with a person's face are grouped under their name in the People tab. By default, the personal album shows mini-portraits with the person's face. Double-click any of the portraits to open the full photo. When you scroll through the album using the left and right arrows or start a slideshow, you will see the photos from the personal album in the same sequence as the mini-portraits.

If you'd like to see the thumbnails of full photos in the personal album, click icon framed face> in the upper right. Clicking it again switches the view back to mini-portraits.

NOTE: The context menu that opens on right-clicking mini-portraits differs from the context menu that opens for photo thumbnails. For mini-portraits, the actions with faces are shown. For photo thumbnails, the actions with photos are the same as in the Folders tab.

Personal profile

Tonfotos lets you store a lot of data about a person in their profile. To go to the person's profile, click an arrow next to their name 1.

To add information about a person:

  1. In their profile, hover next to Person Details 2, then click icon plus in circle>.
  2. Select one of the fields. You can add dates, contact information, other names, professions, and more. If you'd like to add information that doesn't fit dedicated fields, choose the Comment field.
  3. Hover next to Relations 3, then click icon plus in circle> to add the relationships between people in your library. See more in the next section.

To edit the contents of a field, hover over it, then click icon pencil>.

You can also change the person's name and avatar without going to the profile. To change the name, select the person in the left pane and press F2 or right-click their name in the left pane and select Rename Person. To change the avatar, that is, the face that represents a person, go to the personal album, right-click the mini-portrait you prefer, then select Use as avatar.

The information from the personal profile is stored in the internal database, but you have the option to save it to a people.tnfp data file, one per library location, which you should also back up together with your library.

Relationships

Adding a relationship

To add the information about how people in your library are related:

  1. Go to the profile of one of these people.
  2. Hover next to Relations 3, then click icon plus in circle>.
  3. Select the relationship from the list 4.
  4. Select a related person from the list that opens 5.
  5. If you want to add another relation of the same type, hover next to the avatar 6 of the relation you already added, then click icon plus in circle> and select another name from the list. For example, if you added one child use icon plus in circle> to add more children of the same person.

If you don't have any photos for a relative you can still include them for completeness of your data. Instead of selecting a name from the list in any of the steps described above, select New person and enter the name. This person will be displayed in the list of people and have a neutral image for an avatar 7.

NOTE: Tonfotos completes the other side of the relationship automatically, but doesn't assume too much. For example:

  1. On Helena's profile, we add Faith as her child and Irvin as her spouse.
  2. On Faith's profile, Helena is automatically listed as her parent. But Faith's relationship with Irvin is uncertain, and we will have to manually add him as a parent or step-parent.

Use the relationship data and the photo avatars to create a family tree with Tonfotos. To go to someone's family tree directly from their profile, click the Show Family Tree link.

Removing a relationship

To remove a relationship between two people:

  1. Go to the profile of one of them.
  2. Right-click the avatar of the other person and select Remove from "<relationship>".

The relationship will be removed from the profiles of both.

Deleting a person

If you no longer want to keep the data about a particular person, remove them from the library. Right-click the name, select Delete, and confirm. The faces found for this person become unassigned and remain available for further matching.

However, if you want all faces of that person gone too, then you should delete those faces before removing the person. Go to the personal album, right click on one of the person's faces, chose Select All, then Ignore this face suggestion. And only after that delete the person.

Grouping people

Create groups of people for easier navigation through the list. For example, you may want groups like "School friends," "Colleagues," and "Relatives."

To add a new group, right-click one of the people in the left pane, select Add to... > New group, then enter the name of the group as it appears at the top of the list. To edit the name of an existing group, select it and press F2. When you add your first group, everybody else is automatically put into an "Others" group.

To add more people to an existing group, right-click their name, select Add to... and choose the group name.

HINT: One person may be a member of several groups.

To remove a person from a group, right-click their name and select Exclude from "<group name>".

The groups have no profiles or information attached, only names. Their purpose is to let you easily navigate a large list of people. To add info about meaningful connections between people, use Relationships.

People data file

To save all data that you added to people's personal profiles into a people.tnfp data file:

  1. On Windows: Select File > Library Locations or press AltShiftL.
    On macOS: Select Tonfotos > Library Locations from the menu bar or press OptionShiftL.
  2. In the Manage photo library locations dialog, select the library location, then turn on the Store dossier of people option.

This creates a people.tnfp data file in the main folder of the library location. Always keep this file together with your library, during backup or when sharing it to work together with other people.

If you are working with the library from several computers, the people's data is synchronized using this data file. If two users make conflicting changes, Tonfotos keeps the most recent update, ensuring the library stays consistent.
